A safari quote is easier to audit when every cost is attached to the day that creates it. A single "per person" total can hide park fees, vehicle assumptions, empty transfer days and exclusions.
This method does not publish a universal safari price. It turns one supplier's dated quote into comparable lines.
Before day 1: currency and party size
Record the quote currency, exchange-rate date, number of adults and children, residence category and room arrangement.
Ask whether the price changes if one traveller cancels. A private vehicle divided among four people can become more expensive per person with three.
Mark taxes and card or bank charges separately. Do not fold a payment fee into a park tariff.
Day 1: airport and first night
Identify the arrival airport, transfer and hotel meal basis. A quoted "arrival transfer" should name the endpoint and waiting policy after a delay.
Check whether an early check-in or late meal is included. Do not assume the safari vehicle meets an overnight flight and drives directly to a distant park.
Record accommodation taxes or levies not included in the room rate.
Transfer days: vehicle and fuel
The quote should state private or shared vehicle, passenger capacity, guide language and fuel inclusion.
Ask whether the vehicle remains with the group across borders or changes. Identify empty repositioning charges and one-way supplements.
A transfer day still uses guide time, fuel and accommodation. Compare it honestly rather than valuing only game-drive days.
Park days: authority fees
Attach each fee to the exact park, reserve, conservancy or conservation area. Use the responsible authority's tariff.
Tanzania National Parks, Ngorongoro Conservation Area, SANParks and Kenyan authorities publish different fee structures. Citizenship, residence, age, season, vehicle and overnight location can affect the line.
Ask whether an authority increase after deposit is passed to the traveller.
Camp days: what full board means
List meals, water and drinks. Full board may exclude beverages, laundry, premium meals or lunch on transfer days.
Check whether game drives are included through the camp or supplied by the road operator. Avoid paying two vehicles for the same day unless that is intentional.
Ask about single supplements and mandatory holiday meals on the actual dates.
Activity days: permits and optional items
Gorilla permits, guided walks, night drives and balloon flights should have separate authority or operator lines and cancellation terms.
Do not accept a guaranteed wildlife sighting. The cost purchases regulated participation, not a promised animal behaviour.
Record age, fitness or health conditions before payment when they affect participation.
Final day: exit and departure
Identify the last park fee validity, airport transfer and flight buffer. A bush flight may have baggage limits and an airstrip transfer.
Check whether the quote ends at a city hotel, domestic airport or international terminal. Those endpoints can be far apart.
Include the final night when it protects a long-haul departure.
Exclusions: make them numeric
Convert likely exclusions into estimates: tips, visas, authorisations, travel insurance, drinks, laundry, vaccinations, personal gear and bank charges.
Use a range when the amount depends on consumption or exchange rate. Label the source and date.
An exclusion that cannot yet be priced should remain visible rather than disappearing from the total.
Compare two quotes
Normalize nights, parks, vehicle privacy, room basis and permits. One quote may look cheaper because it omits authority fees or uses fewer full park days.
Ask both operators the same questions and keep their written answers. Compare cancellation schedules and the entity receiving payment.
The final worksheet should show fixed authority charges, supplier prices and traveller estimates in separate columns. That separation is more useful than a false single "average safari cost."
Before paying, identify the legal business receiving the deposit and the country in which the payment account is held. Ask for the invoice, booking conditions and staged payment dates. A personal account or pressure to bypass card protections deserves an explanation.
Place cancellation costs beside the timeline. A permit may become non-refundable before a lodge balance is due, while a flight can follow another schedule. Record the amount at risk on each date rather than summarising the whole package as refundable or non-refundable.
Check whether supplier insolvency, medical cancellation and missed connections appear in the selected insurance policy. This is a policy-reading task, not a reason to assume coverage. Keep receipts and authority confirmations separately from the operator's itinerary so a claim can show which cost belongs to which service. Store copies offline until every service and refund is complete.
